To rent from G20 Vehicle Hire Ltd, Hirer(s) will agree to all terms and conditions stated below. For the purpose of this agreement: ‘Hirer(s)’ means the persons, firm, or organisation by or on behalf of whom the vehicles are rented. ‘Vehicle’ means vehicle description on invoice, ‘Charge period’ means original agreement start date/time to the end date/time of which G20 Vehicle Hire Ltd receives possession of the off hired vehicle.

Charges Summary

In the interest of transparency this section will highlight charges related to insurance/damages applicable to Hirer(s) of G20 Vehicle Hire Ltd vehicles, followed by a brief comparison against alternative vehicle suppliers. G20 Vehicle Hire Ltd operates a single price rental structure to enhance practicality for our clients. As a Hirer of a G20 Vehicle Hire Ltd Vehicle the following is applicable:

·  A damage excess of up to £1,000 is chargeable for each own fault incident incurring damage to either G20 Vehicle Hire Ltd vehicle, 3rdparty vehicle and/or 3rd party equipment/property.

·  Damage sustained to the vehicle due to driver negligence will be charged in full. Examples of incidents of which shall be deemed negligent are disregard for height/width restrictions, overloading vehicle beyond maximum payload, improper use of 4x4 controls or mechanical damage due to poor vehicle maintenance.

Choosing to hire from G20 Vehicle Hire Ltd presents several benefits which eradicate hidden charges thus ensuring our costs are in line with PO allocation. These are as follows:

·  Unlimited additional drivers on all vehicles allowing you to insure your entire department at no extra cost. By alleviating this cost, transport departments can rest assured the whole crew are covered correctly. This has been known to be charged by other suppliers at £1 per additional driver, per day.

·  Free of charge towing cover. Every vehicle available from G20 Vehicle Hire Ltd will be supplied as standard with a ball & clevis tow hitch. This is covered automatically for use on public highways at no extra cost. Other suppliers typically charge £2.50 per week. (please note G20 Vehicle Hire Ltd insurance will not cover damages to Hirer(s) towable equipment in the event of an own fault incident).

·  Unlimited mileage policy in place on all hires. Alternative suppliers are currently operating approximately 800-mile restriction per week. Limiting a vehicle to just 115 miles per day is unrealistic and unnecessary!

·  Extensive fair usage policy. G20 Vehicle Hire Ltd pride themselves in providing vehicles in a presentable condition. We appreciate minor damages are inevitable in daily use and are disregarded where possible to maintain a fair working relationship.

Terms & Conditions

1. G20 Vehicle Hire Ltd agrees to rent, and the Hirer(s) agree to take and return the vehicle under the terms and conditions set out as below and on invoice. (1a) Hire Period shall terminate on the Sunday after G20 Vehicle Hire Ltd is notified of the off hire, unless a specific date is agreed at least 7 days in advance.

2. The Hirer(s) acknowledges that G20 Vehicle Hire Ltd is not responsible for loss or damage to property carried on or in the vehicle, indirect and unforeseeable loss, damage, or delays and/or consequential loss from breakdown or accident.

3. G20 Vehicle Hire Ltd vehicles will not be used or driven by any person whose driving licence is restricted or suspended, under the influence of alcohol or drugs, in the event of a mechanical, electrical or structural failure or damage where further damage might thereby be caused, in a manner that would breach the insurance policy under which the vehicle is operating or in contravention of any road traffic act or construction and use regulations, for the carriage of passengers for hirer or reward, or any unlawful purpose, outside the British Mainland of England, Wales and Scotland without the express agreement in writing of G20 Vehicle Hire Ltd.

4. G20 Vehicle Hire Ltd insurance cover for the Hirer(s) is provided under the terms/conditions, and limitations of the insurance policy.

The insurance cover provided by G20 Vehicle Hire Ltd will not cover the damage, theft, or loss of/to tyres, wheel trims, windscreens, keys, remote locking device, interior trims/seats or audio equipment. Every occurrence of damage, theft, or loss to or from the vehicle and or the third-party claims, will incur an excess charge of £1,000, which is not refundable. An increased excess amount totalling £2,000 will be applicable to “G20 Vehicle Hire Power Ranger” generator units. 

(4a) Damaged windscreens will be replaced and charged in full. 

(4b) Hirer(s) accept responsibility for damage/loss, or theft to a G20 Vehicle Hire Ltd vehicle because of abuse, wilful act, negligence including but not restricted to keys left in or with the vehicle caused by any persons present on site whether hirer or not. Should an eventuality be deemed negligent, Hirer(s) will be liable to pay on demand the cost of repair or replacement of the vehicle and its accessories, loss of income, admin charge, and third-party costs. Hirer(s) accept full responsibility in the event of damage to the roof or upper part of the vehicle, damage to the inside of the vehicle and post hire cleaning more than G20 Vehicle Hire Ltd standard cleaning process. As a driver of a G20 Vehicle Hire Ltd vehicle you are automatically covered for towing insurance, this insurance covers both the G20 Vehicle Hire vehicle and the third-party vehicle as standard practice. Damages to the Hirer(s) trailer and property being towed are not the responsibility of G20 Vehicle Hire Ltd. In the event of a non fault accident, damage to both G20 Vehicle Hire Ltd vehicle and the Hirer(s) trailer shall be covered by the third-party insurance. 

5. Any Driver over the age of 25 with the permission of G20 Vehicle Hire Ltd insured to drive, a reduction to the age of 21 can be applied with the consent of G20 Vehicle Hire Ltd, all drivers must produce a driver’s licence meeting G20 Vehicle Hire Ltd insurers criteria. Maximum endorsement limitations are subject to change due to inconsistencies between insurance underwriters. 

(5a) Hirer(s) MUST ensure they possess efficient licensing required when increasing the gross train weight of a vehicle by hitching a trailer or other towed equipment. Hirer(s) accept full responsibility of ensuring a confirmation of licence acceptance has been received from G20 Vehicle Hire Ltd. A minimum requirement consists of the following.

A) photocopy front and back of licence displaying all four corners visible. 

B) DVLA licence summary obtained online. In the event of a driver holding a foreign licence, a photocopy of the passport will be required.

6. The Hirer(S) will not pose as an agent, or employee of G20 Vehicle Hire Ltd.

6a) In the event of a third party exchanging a vehicle for any reason, including but not restricted to, breakdowns, MOT or servicing, G20 Vehicle Hire Ltd must be notified for insurance purposes before driving.

7. Where G20 Vehicle Hire Ltd has provided credit facilities to the Hirer(s) all charges, fees, expenses, loss or damage to the vehicle, including payment for loss of income revenue become due at G20 Vehicle Hire Ltd demand. If the Hirer(s) do not pay all charges when due, interest of 8% will be added daily to any amount outstanding, including but not restricted to any collection costs, including G20 Vehicle Hire Ltd legal costs.

8. The Hirer(s) are liable for all penalties, civil or traffic offences committed during the rental period, including but not restricted to, parking tickets, toll charges, clamping fines, compound charges, bus lane fines, zone charges, including any charges incurred due to the vehicle being seized by either the customs excise or immigration authorities. If these remain unpaid, they will be charged to the Hirer(s), together with an admin charge of £35 for each offence processed including any restoration charges and loss of income whilst G20 Vehicle Hire Ltd cannot rent out the vehicle. In the event of the Hirer(s) intending to assign liability for the above fees to an employee of theirs, the Hirer(s) remain responsible for clearing the invoiced amount issued by G20 Vehicle Hire Ltd, the recovery of these funds must then become a transaction between the Hirer(s) and their employee.

9. Hirer(s) are responsible for replenishing fuel in the vehicle to the level supplied, refills charged at £1.50 + vat per litre. 

(9a) In the event of a vehicle being collected with insufficient fuel to reach a fuel station, a £200 fee shall be added to invoice.

10.Hirer(s) agree to look after the vehicle and operate the vehicle such that the correct levels are maintained for engine oil, coolant, Ad-blue, screen wash, and automatic transmission fluid (where applicable) and check road wheels are secure and tyre inflation pressures are maintained throughout the period of rental, ensure the vehicle is secure, locked and the keys are removed when the vehicle is unattended, taking all reasonable precautions to prevent loss or damage to the vehicle, its tyres, tools, accessories, equipment or contents. In the event of an accident, damage, loss or a fault developing to the vehicle and/or its security immobiliser/keys, Hirer(s) are required to notify G20 Vehicle Hire Ltd immediately, prohibit use of the vehicle whilst it is in an unroadworthy condition and permit essential repairs, servicing or maintenance.

10a) To notify G20 Vehicle Hire Ltd of any damage/faults that may deem the vehicle unroadworthy before collection date to prevent failed collection. In the event of a failed collection due to not following these terms any vehicle will remain on hire until the issue is resolved.

(10b) Furthermore in the event of an accident/incident with the vehicle, Hire(s) acknowledges and agrees to protect the interest of G20 Vehicle Hire Ltd insurance company, to make no admission of liability, to obtain names, addresses, and telephone details of all involved, including all witnesses.

To notify the police straight away if people or animals are injured, or there is a disagreement over responsibility, do not abandon the vehicle without making adequate provisions for its safety and security.

(10c) To notify G20 Vehicle Hire Ltd immediately by calling the number as per the invoice, to provide a report detailing the date, time and place, diagram including vehicles, sufficient photographic evidence of all vehicles involved, people, roads and road names to G20 Vehicle Hire Ltd within 24 hours.

(10d) To return G20 Vehicle Hire Ltd vehicles on the date and time set down as per invoice or sooner if G20 Vehicle Hire Ltd demands, in the same condition as received by the Hirer(s). (vehicles left at G20 Vehicle Hire Ltd address outside working hours remain on rent and are the Hirer(s) responsibility up to G20 Vehicle Hire Ltd next working day and until G20 Vehicle Hire Ltd can take possession). G20 Vehicle Hire Ltd will inspect the vehicle notifying discrepancies to Hirer(s) before ending the rental. When G20 Vehicle Hire Ltd agree to collect the vehicle, the Hirer(s) have confirmed the vehicle is available for collection, the vehicle remains on rent and the Hirer(s) responsibility, including, but not restricted to a suitable place to allow collection of the vehicle free of obstruction at any time. When G20 Vehicle Hire Ltd has possession of the vehicle an inspection will be undertaken, and any discrepancies notified to the Hirer(s).

(10c) G20 Vehicle Hire Ltd reserves the right to terminate the rental upon breach of terms and conditions by the Hirer(s). If this agreement is breached, Hirer(s) consent that personal details and information provided to G20 Vehicle Hire Ltd can be shared. G20 Vehicle Hire Ltd may give the Hirer(s) personal details to credit reference agencies, the DVLA, Custom and Excise, The Police, debt collectors, and any other relevant organisation. G20 Vehicle Hire Ltd may also give the Hirer(s) personal details to the British vehicle rental and leasing association, who may pass the details on to any of its members for any purpose stated in the data protection act 1998. G20 Vehicle Hire Ltd has maintained the vehicle to at least the manufacturers recommended standards and undertakes that the vehicle is roadworthy and suitable for renting at the start of the rental period.

(11) The following terms are applicable for vehicles supplied with a G20 Vehicle Hire Ltd Driver.

In this instance the driver is contracted for a 10-hour day inclusive of a 30-minute travel allowance to and from location (subject to change with prior approval for long distance locations). Goods carried by G20 Vehicle Hire Ltd vehicles, when in the care of the driver are covered by our goods in transit policy available for viewing upon request.

(11a) G20 Vehicle Hire Ltd accepts no responsibility for damages to goods/equipment unless deemed adequately packed/wrapped before handing over to G20 Vehicle Hire Ltd staff to load. 

The Laws of England and Wales govern this agreement. English Courts will have jurisdiction.
